Recording a Payment & Sending a Receipt
Recording a payment is the business's own note that money arrived — and now also produces a receipt the client can keep, with a stable reference number they can quote back.
Step by step
- Open Client → Payment Tracking and click Add.
- Record the date, amount, method and any notes.
- Leave 'Email the client a receipt' ticked, or untick it for cash handed over in person that does not need to land in an inbox.
- Record it. The confirmation shows the receipt number and tells you whether the email actually went.
Details
- Receipt numbers look like R-2026-0007 — sequential per business, restarting each January in your own calendar year, never reused.
- The receipt and the payment are written together, so neither can exist without the other.
- A client with no email address on file has no inbox. The confirmation says so at the moment of recording rather than leaving you to assume it went.
- The currency is taken from the terms the pack was actually sold under, so repricing a plan into another currency never relabels money that changed hands under the old one.
- Payments recorded before receipts existed simply have no receipt number. Nothing was backfilled.
Good to know
- The payment tracker shows each row in its own currency, and the running total in the currency the enrollment was purchased in.
